PROCTORING GUIDELINES

General information about proctoring:

  • Proctoring is available to any student age 16 years or older.
  • There is no charge for proctoring.
  • Proctoring is by appointment only. Exams are scheduled based on the availability of rooms and staffing.
  • Appointments may be scheduled:
    • Monday through Thursday 9:30 am to 8:30 pm
    • Friday 9:30 am to 4:30 pm
    • No tests will be proctored on Saturday or Sunday.
    • Proctoring requests must be submitted at least 7 days in advance of the proposed test date to ensure staff and room availability.
  • The proctor will be an Adult Services staff member on duty at the time of the exam.
  • Study rooms are available for two-hour reservations. A reservation may be extended one additional hour to accommodate a proctored three-hour test. Exams must be completed 30 minutes before the library closes. We are not able to accomodate any exams longer than three hours.
  • Test materials may be printed at a charge of $0.10 per page.

Before the exam, the test-taker must:

  • Turn in (by email, in person, or by online submission) the completed Proctoring Agreement Form. Staff will not register test-takers over the telephone.
  • Read the Algonquin Area Public Library test proctoring guidelines and submit them to educational institution for approval.
  • Schedule the appointment to take the exam at least seven days before the exam has to be taken.
  • Arrange for the exam and testing information to be delivered to the library before the date of the exam (The name of the test-taker must appear on the exam information).
  • Contact the library prior to the test date to confirm the exam has arrived.
  • Contact the library as soon as possible if the appointment must be cancelled.

At the time of the exam, the test-taker must:

  • Arrive on time to take the exam. The scheduled testing time cannot be extended.
  • Check-in with the Adult Services desk and present a picture ID before starting the exam.
  • Take the exam at the designated testing location (study room or public computer).
  • Cover the cost of any printing.
  • Bring any needed student numbers, license information, passwords, etc.
  • Not bring the following (unless specifically permitted in the exam instructions): books, folders, notebooks, briefcases, calculators, etc.
  • Cell phones are not allowed in the testing area. The library cannot take any responsibility for items belonging to the student/test-taker.
  • Students/test-takers who need to listen to recordings during exams must supply their own listening devices and/or ear buds.
  • Remain in the testing location while taking the exam.
  • Finish the exam by the designated time.
  • Have contact information for the test-provider so that the test-provider may be contacted in the event of problems.

The library staff may not:

  • Provide a device other than the available public desktop computers for online exams.
  • Proctor an exam for anyone who has not submitted the Proctor Agreement Form and who has not made a proctoring appointment at least a week in advance of the date on which the exam is to be taken.
  • Proctor more than one test-taker at a time.
  • Schedule back to back exams.
  • Supervise the test-taker during the entire exam.
  • Schedule a specific staff member to proctor a particular exam. Staff members on duty at the service desk(s) during the proctoring assignment will serve as the proctor.
  • Supply any information about the mechanics of the exam, the results of the exam, etc.
  • Sign a proctoring verification that attests to anything other than that which the library staff has done.
  • Proctor any exam that requires grading or feedback on the part of the library.
  • Deliver finished exams to a mailbox or expedited mailing services or allow the student/test-takers to mail finished exams. Mailed exams are put in the library’s outgoing mail. The student/test-taker must provide a pre-paid envelope for exams requiring return by mail.
  • Retain untaken exams beyond its expiration date, or if no expiration date, beyond one month after receipt of the exam by the library.

The library is not responsible for:

  • Exams or testing information not received by the library before the exam is to be taken.
  • Missing exams or missing sections of exams.
  • Faxing or mailing problems when returning finished exams.
  • Exam not being returned to test provider by the return deadline.
  • Any computer or building problems that may impact the exam.
  • Bad weather and/or other conditions/events that may cause the library to close or to cease normal operations.
  • Online exam access being limited by the library’s internet access. We are not able to install any software or disable any features of our network to accommodate a test.

If the Proctoring Guidelines of the Algonquin Area Public Library do not meet the test-taker’s or institution’s needs, the test-taker should contact the test-provider for other proctor recommendations.
